Program Coordinator (Education Administrator)

Purpose of Role:

To manage a diverse range of administrative and logistical duties for Kindi Education.


The successful candidate will be based at Kindi Education’s modern Head Office in Brindley Place, central Birmingham. Just a ten-minute walk from Birmingham New Street Station, Brindley Place boasts tree-lined squares and a diverse array of excellent canal-side coffee shops and restaurants. In July & August the successful candidate will be based at Kindi Education’s International Summer Academy Office at Canterbury Christ Church University (CCCU). Private en-suite accommodation and three meals per day will be provided on the university campus.

Main responsibilities:  

  1. Office Management (50%)
  • Manage day-to-day operations at Kindi Education’s staff office
  • Communicate effectively in response to a range of staff and student enquiries
  • Manage all administrative systems (CRM, SIMS, HR platform, databases, invoicing, rotas)
  • Manage relationships with partner schools & international educational agents
  • Update Kindi Education’s policies & procedures in line with accreditation standards
  • Represent Kindi Education professionally and enthusiastically to a range of clients
  1. Coordination of Summer Short Courses (30%)
  • Ensure that student applications are submitted correctly prior to student arrival
  • Coordinate student airport transfers, check-in/out process and welcome/farewell events
  • Provide practical and appropriate help & support to students and temporary staff members
  • Coordinate student attendance, timetabling and activity bookings with management
  • Act as the initial point of contact for staff, students & visitors during summer season
  • Request feedback, send photo albums & compile follow-up reports at end of summer season
  1. Maintenance of Website and Social Media (20%)
  • Maintain & update Kindi Education’s staff vacancy database on the website.
  • Regularly update company website and social media platforms with engaging content.
  • Schedule meetings with management to review website/social media targets

Safeguarding Responsibilities:  

The successful candidate is required to attend all necessary Child Safeguarding training and may be required to act as a Deputy Designated Safeguarding Lead (DDSL). She/he must share appropriate information with professionals and/or colleagues as may be required to keep all students safe.

Essential requirements:

  • Experience working in a challenging administration role
  • Experience managing a range of administrative processes and procedures
  • Good knowledge of CRM systems (or SIMS) and database management
  • Excellent ability to plan, organise and prioritise workload under pressure
  • Outstanding oral/written communication skills, interpersonal skills & attention to detail
  • Ability to write concise, high-quality reports for external dissemination
  • Knowledge of a range of monitoring, evaluation and research techniques
  • Highly skilled in computers (Word, Excel, MS Outlook, Power Point)
  • Willingness to on-board, train & delegate tasks to an apprentice
  • A strong advocate for equal opportunities & sensitivity to a range of cultures
  • High levels of patience when working with children
  • Ability to offer excellent administrative & logistical support to staff and students
  • Willingness to travel in the UK & be located in Canterbury for the summer period
  • Fluent English

Desirable requirements:

  • Degree in Educational Administration or similar field
  • Experience dealing with a range of student enquiries
  • Experience writing school policies, procedures and/or accreditation reports
  • Knowledge of staff recruitment cycles
  • Experience of back-end website maintenance and/or social media management
  • Proficient in a foreign language (e.g. French, Spanish, Mandarin or Arabic)
